Accommodation guidelines

Rooms at special conference rates are held in hotels close to the Convention Centre Dublin or in the Dublin city centre.

Rooms will be allocated on a first come, first served basis.

Delegates are recommended to reserve the accommodation by 15 June 2010.
After this deadline requests will be accepted; however rooms are subject to availability and cannot be guaranteed; when making the reservation, please also indicate an alternative/second choice hotel in case your preferred one is fully booked.

No shuttle service will be provided by the conference from the airport to the hotels or from the hotels to the Convention Centre Dublin.

Full prepayment is requested to confirm your booking.

Hotel will require a credit card upon arrival to guarantee the extras or possible extension of stay.

Cancellation/Change of reservation

Cancellations/changes must be notified in writing (email or fax) to Conference Department (CZECH-IN). Cancellations/changes made by phone cannot be accepted.

Please do not contact the hotels directly as reservations are held by CZECH-IN.

In case of later arrival other than reserved please inform the Conference Department as well in order to guarantee the room.

Cancellation will be charged according to the following Cancellation conditions:

  • For hotel reservations cancelled before 15 June 2010 full deposit will be refunded less EUR 20,-
  • As of 15 June 2010 an amount equalled to 1 night will NOT be refunded.
  • As of 15 August 2010 all nights as reserved will be charged and NO refund will be made.
  • In case of a no-show or later arrival or earlier departure other than reserved all nights as reserved will be charged.
  • Reimbursement will be processed after the conference.

Payment conditions

Full pre-payment is required and it can be made by a credit card, a bank transfer or a check payable to the account of the Conference Department - CZECH-IN (1 night is not refundable after 15 June 2010 and no refund will be made in case of cancellation as of 15 August 2010).
Bank transfer and check will be accepted until 31 August 2010 only. Please forward a copy of the transfer stating the participant’s name. A full payment free of any bank charges must be received by CZECH-IN.

All extras or additional nights must be settled directly with the hotel upon departure.

Online credit card payment
With reference to the worldwide general terms please be aware that your credit card will be charged in currency valid in country of the origin, i.e. Czech Crowns (CZK) and hereinafter converted back to the currency of your account which may result in slightly different total charge than stated in EUR.

Check-in/Check-out

Rooms will be available after 14hrs on the day of arrival (at the Jurys Inn after 15hrs) and must be vacated before 12 noon on the day of departure. In the event that the guest fails to comply with the arrival/departure times, the hotel will charge the guest’s credit card for any additional day or night accommodation incurred.

Early check-in or late check-out can be requested, however cannot be guaranteed; the room is subject to the room availability on the day of arrival/departure. Additional day or full rate may be charged by the hotel.

Confirmation of reservation/hotel voucher and final bill

After completing the hotel booking, delegate will receive a system notification that reservation request was received (please note this is not a confirmation of the room). Confirmation of the hotel reservation (a hotel voucher) will be issued by the Conference Department only after the full payment is received and it will be sent by email with a final invoice. Hotel voucher should be presented to the hotel reception upon check-in.

Responsibility

The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the Conference be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
